PRACTICE MANAGER
We’re seeking a courageous, compassionate, and highly organised Practice Manager to help lead and support our growing team. This role blends operational oversight with people-focused leadership — ideal for someone who wants to make a meaningful impact in mental health and neurodiversity-affirming care.
As Practice Manager, you will play a central role in keeping our clinic running smoothly while nurturing a healthy, connected team culture. This role involves leadership, administration, systems oversight, and supporting our clinicians and admin staff.
This is a hands-on, people-first leadership position that combines operational oversight with a heart for team wellbeing and continuous improvement.
Position Summary
Days: 3–5 days per week
Location: Castle Hill, NSW
Start Date: Flexible.
Key Responsibilities
1. Leadership & Team Culture
Lead from a place of clarity, kindness, and courage. Create an environment of psychological safety, trust, and open communication across admin and clinical teams.
Hold space for difficult conversations and foster an accountable, collaborative culture.
Prepare for and facilitate admin team meetings, individual check-ins, and quarterly reviews with a focus on development and alignment.
2. Operational & Business Oversight
Oversee admin team rostering, time sheet approval, and leave requests.
Maintain oversight of practice management software (Zanda) tasks.
Monitor business and clinician performance statistics to support informed decision-making
Manage payroll checks, and oversee accounts
Oversee accuracy of NDIS, Workcover, and EAP processes
3. Client & Community Experience
Oversee client care systems including feedback and post-session check-ins.
Respond with empathy and clarity to complaints and concerns in a way that reflects our values and strengthens community trust.
Ensure front desk interactions are consistently aligned with our warm, neuroaffirming, and professional tone.
Triage client concerns and complex needs with compassion
4. Contractor & Partner Management
Liaise with contractors regarding invoices, service tracking, and payment.
Manage and strengthen relationships with EAP providers and third-party stakeholders.
Provide administrative leadership in coordinating accurate billing and reporting for EAP and Workcover clients.
5. Space & Resource Management
Monitor office supplies, safety issues, and resource procurement.
Maintain safety, comfort, and functionality of the clinic space
About You
We’re looking for someone who is:
Able to lead with courage and kindness

Values-driven and grounded in integrity, with a leadership approach that aligns with Brené Brown's Dare to Lead practices.
Reliable and systems-savvy, with high-level organisational and time management skills.
Comfortable with data management
Excellent communication with high level emotional and relational intelligence.
Experience in managing teams and/or administrative operations.
Strong problem-solving abilities and attention to detail.
Confident working with practice management systems (Zanda or similar) and spreadsheets.
Qualifications & Experience
Prior experience in a health, education, or psychology practice setting preferred.
Leadership or team coordination experience essential.
Working With Children Check essential
Mental Health First Aid training preferred.
